Xperien revolutionises ITAD

Johannesburg, 21 Oct 2014

The actualisation of the necessity to include IT asset disposal (ITAD) when practising IT asset management (ITAM) has escalated in priority and importance. The reasons for this are: IT service providers offer services from supply chain management to desktop support, but very few provide an efficient and compliant ITAD service. The focus has specifically been on supply, demand and support, although of utmost importance is the insurance that end-of-life computers and memory devices are dismantled, recycled, destroyed or refurbished professionally. Enhanced focus is to be allocated to hard disk drives to ensure effective sanitisation or destruction is carried out.

Due to legislative requirements, compliant disposal costs (CDC) can range from 3% to 12%. An organisation is at great risk of suffering substantial financial and reputational loss once it becomes aware of non-compliance; this risk is augmented if an organisation is found to be non-compliant due to negligence. A majority of corporations have not included a budget for ITAD in the past; the significant importance of ITAD can no longer be overlooked.

Once depreciation has taken place, there is a residual value (RV) that can be recovered from IT equipment; this usually ranges from 10% to 15% of the original purchase value. Your RV, however, also starts to depreciate.

As a result of IT asset residual values depreciating rapidly within the first 24 months (year four and five after purchase), and legislative compliance costs for IT disposal rising rapidly, Xperien, one of the longest established ITAD companies is SA, has come up with the solution with its creation, of an ITAD management system branded Compliance 325. The system creates an environment where ITAD can now form part of your IT life cycle planning without greatly affecting your capex.

The system is built on the foundation that if you instruct a disposal within three to five years, you are likely to recover residual value and avoid a disposal liability.

Two of the country's four major banks are among the many corporate clients that Xperien has assisted to effectively implement this compliant and effective ITAD management system. Xperien offers clients a complete, professional solution. The company was the first to launch an effective mobile HDD destruction service (Destroy Data) - this service physically shreds the hard drive into shards, rendering data recovery impossible. The service is carried out under strict supervision and is guaranteed, backed by serial number-based destruction certification and CCTV footage from four camera angles.

On the logistical front, the company partners with one of the leading courier companies in SA and has created a national and cross-border (SADAC) logistical solution. These services are but a few of the revolutionary solutions that can be included in your personalised Compliance 325 policy, and would then form part of your ITAD management system. The implementation of Compliance 325 into an organisation's ITAD process has achieved loss results as low as 0% in the processing of hard disk drives and equipment.

The company has been POPI ready since 2006, two years before the Bill was gazetted and seven years before the Protection of Public Information Act 4 of 2013 was signed. This is attributed to the practice of international standards of ITAD. Xperien ensures the mitigation of all the risks that corporate entities are faced with under POPI and NEMWA (National Environmental Management Waste Act 59 of 2008) when practising ITAD.

Compliance 325 also ensures CIOs, directors, legal secretaries and information officers are protected against the personal liability they face if their organisations are found to be non-compliant with NEMWA or POPI.

Compliance 325 adopts a three- to five-year life cycle policy, while creating the most effective auditable reporting and certification in South Africa; documentation of unique serial numbers, specifications and conditions, logistical records, service delivery time frames, trending data and data destruction procedures are deployed.

Compliance 325 is a complete professional solution to IT asset management; can anyone really afford to not implement it.
