Esker delivers at Stellenbosch University

SPI, the African distributor for utility software products and services to the open systems segment of the IT industry and the southern African reseller for Esker, a leader in document process automation solutions, today announced that Monday 28 July 2014 was a red letter day for Esker at Stellenbosch University.

"That was the day we rolled out our new letterhead delivery method with Esker and, for the first time, letters were printed or e-mailed, and the e-mailed letters also had PDF attachments in addition to the PDF letter attached," commented Thys de Wet, Senior Systems Administrator IT at Stellenbosch University. "In addition, we made use of floating signatures, the positions of which were determined by the length of the text in the letter and, even better, our users were over the moon with the results."

"Our previous system was coming to its 'end of life', was too ensconced within the Unix system, as well as suffering from other shortcomings, and thus, we needed to embrace a solution that would support our future requirements; reduce our cost of printing; create other cost savings; increase our effectiveness and efficiency; and ensure our credibility with our users, and if possible, orchestrate a transition that was invisible to them," explained De Wet.

"We have done precisely that and now over 80% of our applications are handled using e-mail, a figure that we hope will rise to at least 95% in the near future. The stationery and postage savings we have achieved are very significant and the productivity gains we have seen through the utilisation of templates, a repository for all our varied attachments and the elimination of manual errors is immeasurable.

"We are also going ahead full steam with various other forms, as well rethinking our forms delivery methods. In addition, we are planning a full document management system; are exploring the use of secure PDFs to eliminate fraud; the implementation of other applications that are to do with student documentation, such as their academic records; and of, course, POPI compliance. Esker is going very well and we are now starting to unlock the potential of the full scope of Esker DeliveryWare. SPI's service has always been and continues to be impressive and any interaction we have needed directly with Esker has also been very good and so unlike the unresponsive nature of the previous US-based software supplier."
