PaySpace Cloud Room - safely exchange, store sensitive data

As a further extension of the outsource offering, and in line with global trends around data security, PaySpace has launched Cloud Room.

Instead of exchanging highly sensitive employee personal information via insecure methods such as e-mail, Cloud Room provides a secure portal to upload data items online in the realm of encrypted security."

Further to the data security element, both client and vendor can track item statuses online. Information can easily be traced and retrieved in a central environment at any time rather than attempting to track down information stored in various locations among multiple resources.

"With each client engagement, we now define processes, set up reminders and, once a client's processes have been clearly mapped out, these process activities are individually defined within PaySpace and assigned a responsible party, being the client or outsource vendor, in terms of who is required to act on an item. Activities are neatly colour-coded for clear indication of who is responsible, and marked as completed once actioned. Due dates and reminder dates can be configured for each activity, and automated reminders are sent to the relevant parties on the reminder dates. This enhances compliance, client ease of mind and general process efficiency greatly," Van Wyk adds.

Process items can also be associated with uploaded data in specific monthly activities. When a client user wishes to send through overtime input, as an example, they would associate the overtime input with the relevant overtime activity as defined on their process list, and this will allow the system to link the uploaded input to the overtime activity for tracking and easy retrieval purposes. Similarly, outsource clerks will upload items to Cloud Room such as reports, payslips, EFT files and so forth for the client to safely retrieve. This portal allows the entire process to be audited.

"At any point in time, all parties will be able to monitor progress of a month's processes in terms of inputs and outputs and a report can be drawn for sign-off purposes. The Cloud Room approach is in line with PaySpace bringing first-to-market technologies to the payroll and HR space, and in this case, specifically around the exchange of data," concludes Van Wyk.
