Are you POPI compliant?

Companies must adhere to the POPI Act when disposing of paper-based documents, says Frikkie Koegelenberg, CCO of PDC.

In today's digital age, businesses rely largely on electronic storage, transmission and disposal of documents. However, a number of industries still require paper-based documentation in order to function.

In many cases, these documents are sensitive, and even in those instances where they contain no confidential information, their disposal can be a headache for companies.

"Throwing away reams of printed documents is inefficient," says Frikkie Koegelenberg, CCO of PDC. "Whether they contain confidential information or are basic delivery receipts, the paper documents used by companies accumulate fast and take up unnecessary space. We have to abide the law, and a new Act, POPI, has recently been introduced.

What is the POPI Act?

The POPI Act is an all-inclusive legislation that protects the client or supplier by safeguarding their sensitive information. This includes how data is kept, stored, managed and destroyed and with who that information is shared.

In order to responsibly address compliance methodologies, businesses will need to consider the implementation or utilisation of multiple technology platforms that will each play a unique role in a collective solutions environment. The following needs to be destroyed:

1. Management and destruction of hard copies and document storing devices;
2. Electronic document management;
3. Digital signature; and
4. E-mail data encryption.

The solution is to shred the documents before disposing of them. This is why PDC has introduced the inAni range of shredders, which cover the needs of offices of every size and type.

Part of the high capacity office range, the inAni Autoshred, with its paper tray capacity of 700 sheets, is a revolution in document destruction, according to Koegelenberg. "inAni 'box' shredders feature an innovative paper feeder mechanism that grabs papers from the middle and feeds them into the solid steel cutters. The noise level is below 58dB, so nobody nearby even knows a shredder is running."

The range of industrial and heavy-duty shredders includes a compact high-capacity shredder with a feeding hopper for crumpled paper, which provides data security for an entire office floor; a high-capacity shredder with a large feeding table and conveyor belt, as well as the inAni Universal Shredder, designed for the shredding of hard discs, CD/DVD, video tapes, typewriter ribbon, retaining tape, and other media. The inAni range also boasts a shredder featuring a powerful combination of the large document shredder and a counterplate baling press for data security in archives, compressing the shredded material into bales of between 40kg and 80kg for easier disposal.

Koegelenberg explains that because so often shredders are required for confidential information, the inAni range of high security shredders has been designed with data security in mind.
