Are you really managing your communications?

In order to manage your communications, it is important to know what you are measuring and also ensure that you are measuring the correct activities.

Unfortunately lack of visibility of communications spend (Fixed voice, Fixed Data, Mobile Voice and Mobile Data) is common for companies And the use of antiquated tools like Telephone management systems (TMS) measure fall short of their intent and ends up being limited to a small portion of the spend.

Let's assume that you are measuring your phone and data usage. Do you know what you are trying to achieve with your metrics or are you also only measuring the basics - abuse, operator effeciency.

This should not be the case as there are many objectives to managing your communications. Some of them being:

* Managing the capacity of your business infrastructure needs
* Identifying user behaviour to understand trends

Not having a single view of your voice and data usage adds layers of complexity and risks in your reporting.

As business has different needs, it is important that your reports are produced to provide information relevant to the business drivers:

* IT needs reports to manage the capacity, availability and performance;
* Finance need to pay the service providers in time to avoid penalties, and also to ensure they are paying the service providers for the correct services;
* Operation needs to understand what value they get from these services as well as how it effects their productivity.

Finally, are you tracking your usage versus your budget. Regular tracking of budget is a critical part of business to monitor the performance of those business units.
