AmVia launches strategic fax audit programme

AmVia, South Africa's leading provider of fax solutions and services, has developed and launched its strategic fax audit programme.

Under the direction of strategic accounts head Robyn Curko, the programme helps existing and potential AmVia customers identify the current and ideal state of their fax architecture, the gap analysis and resultant actions, along with the associated cost benefits and process improvements.

"Most companies have duplicate and redundant fax infrastructure and spend more on fax than they know," says Curko. "They will typically have RightFax providing desktop faxing and fax workflow processes into and out of production systems (such as SAP and Oracle), along with any number of self-standing fax machines, fax-enabled multifunction devices and fax service providers, such as the ubiquitous fax to e-mail and e-mail to fax.

"Because most companies lack a fax strategy, their fax approach overall is uncoordinated, and they cannot see what they are spending, or how many faxes they are sending and receiving, or whether they comply with regulatory requirements. Through our consulting, we gain insight into what they are spending, and what they should be doing to attain best practice."

Curko's consulting team audits all existing fax servers, self-standing devices, processes and workflow, and provides a report on how to deploy an integrated fax strategy.

The key benefits of the audit include:

* Recommendation to consolidate multiple devices and services, which helps restore order to what is almost always an uncontrolled situation.
* Aligning fax with general strategy, such as ensuring fax over Internet Protocol is aligned with an organisation's overall IP strategy - most times it is not, Curko emphasises.
* Cost management. Usually for the first time, companies gain insight into their fax costs. "As an example," Curko says, "we engaged with a bank whose branches were using premium-rate 086 fax services to fax each other. This was costing the bank unnecessary millions a year."
* Bundling the integrated fax strategy for delivery to the client in the way that they require: managed service, outsource or pay as you use services.

Having identified existing inefficiencies and the best way forward, the AmVia Consulting team works with its premier business partners to deliver the best and most appropriate integrated fax strategy and implementation roadmap. This strategy and roadmap are based on best practices as identified and embedded by RightFax and ITIL (IT Infrastructure Library).
