When last did you review your telecoms contracts, and reviewing it implies that you went through every line item and confirmed that they are in fact correct and still relevant to your business drivers.
A regular contract review should be mandatory for the contract owner. This is where the list of required services should be compared to the list of services specified on the contract. Your review should include investigating the following areas:
* Prices offered by your service provider are competitive;
* Volume discounts on your usage are in line with your budgeted expectations;
* Remove services from the service schedule that are no longer relevant;
* Are new services covered under the service;
* Are the exact services allocated to the relevant location;
* Review the SLA for each service to determine how often the SLA was breached by the service provider;
* Calculate any penalties earned due to SLA breaches (if applicable); and
* Determine from the business users, how the quality of service positively or negatively impacted your business performance.
Every contract should have an owner, and all services contracted must be approved by the contract owner - Some service providers consider the approval over a phone call as acceptance to changes to services they provide. Ensure that you have a policy in place that defines who in your company may approve changes to your contract, and in line with the policy communicate what is your accepted process for accepting any contract changes.
During your review, it is good practise to determine the quality of the services provided. This requires a review with the teams in your company that both manage the delivery of those services and those who consume those services. Your prices for the services may be very competitive, but is the quality of the service good enough for your needs. There is always a balance between prices offered for the service and the quality of the service.
You should know how many service providers you have and the supporting functions from them to ensure that there is no duplication of costs for the same services.
