After its recent appointment as a Vignette reseller, DIGIform has successfully merged the document capturing power of TELEform and the document-centric workflow, retention and storage of Vignette Records and Documents.
Greg Smeeton, DIGIform's Research and Development Manager, stated: "We are very excited about the potential these two products have when tightly integrated. We now have control over the complete document lifecycle.
"For instance - if a client calls into ACME insurance company and requests a claim or application form, we can create a Case within VRD. Then, based on the Case type, a document can be generated and sent to the client.
"The document would be sent out using TELEform's Auto Merge Publisher component in fax, e-mail or URL format. A unique identifier will be placed on the document to effectively 'link' the document when it is returned. The method of return would be irrelevant and could be via fax, post or electronically. TELEform would automatically process the document and place it back into the predefined process.
"Once a document is received, and the required and relevant information extracted through the use of TELEform, the initial Case within VRD would be returned to a user for assessment or action. The user-friendly VRD Web interface allows users to easily view the received document, relevant document indexes, Case attributes and optionally other relevant documents, already in the system, that are related to the new document or the Case.
"Any number of steps can be configured for each Case or document type and once these are all completed, the document would be stored and relevant retention policies applied."
Smeeton says the solution could be easily extended to capture, process and store other documents such as:
* Vignette Report Manager rapidly processes computer output, such as statements, letters, invoices, and internal reports in a variety of formats, including; ASCII, Carriage Control, AFP, Metacode, Postscript, PCL and PDF, splits them into individual components and extracts metadata for indexing and classification.
* Vignette WebCapture captures Web site interactions as a formal record of high value Web-based transactions. Playback capabilities help improve customer service and avoid disputes.
* Vignette Bulk Capture provides automated capture for a wide range of formats from office documents to video and voice files. Capabilities include the ability to automatically scan, import and classify existing file directory structures.
* Vignette Email Capture provides features for automatically capturing and classifying e-mail.
Riku Wessels, Product Manager for DIGIform, added: "We believe that the inclusion of Vignette's Records and Documents product into our area of expertise is just the first step in our involvement with the Vignette product suite. We see a big future for the Vignette Portal product in our local markets. Vignette Portal is effectively a portal framework that enables organisations to rapidly build and deliver highly customisable applications to support the real-time information needs of customers, employees and partners. It is already in use by a number of high profile local corporate companies and government divisions."
