Equipment and service related businesses, such as repair workshops, plumbers and contractors, can now obtain a single business administration software solution that controls and integrates equipment maintenance and workshop procedures with financial reporting.
EZeService for Pastel allows users to record maintenance jobs, produce service requests, capture parts and labour costs related to each job, determine pricing and profits, produce full service reports for customers and generate invoices using a seamless interface to Pastel Partner V5 accounting and the soon-to-be released Pastel Accounting V6 software.
"The EZeService program is typical of our drive to add value for our customers and provides a solution that meets the very specific needs of specialised industries," says Stephen Corrigan, managing director of Pastel Software SA, a company in the JSE-listed Softline Limited Group.
"EZeService has been designed for companies that service or install equipment and systems; manage on-site work by technicians; provide regular service and maintenance; conduct workshop repairs and need to keep close track of parts and labour expended with each job," says Corrigan.
Major features that facilitate the management process include the automatic listing of all jobs and quotations, the ability to view from one screen all information relating to each specific job, the printing of "work-required" details and "service comments" on the job card and invoice, the retention of complete service histories and the automatic application of different technician charge-out rates to cater for variations, such as overtime, off-site work or on-site work.
"The client equipment database within EZeService also contains a powerful tool for tracking equipment owned by customers. This information can be used in marketing, either by equipment type or by required service frequency, which ultimately improves customer service resulting in maximised revenue," says Corrigan.
Another strong feature of the software is its job summary capability, which allows management to very quickly establish the progress made on any job at any given time. This results in accurate information being available immediately to an enquiring customer. The software also assigns and reserves stock for each job opened, ensuring that assigned stock items cannot be re-allocated to another job. Stock levels are automatically updated, giving management early warning of low stock levels and the ability to ensure that "out-of-stock " situations are avoided.
