By implementing the IMPACT Encore ERP system from Syspro, Daikin Air Conditioning South Africa has enhanced the accuracy and integrity of its accounting systems, thereby boosting its relationship with its primary supplier in Japan.
Tertius Robertson, IT manager of Cape Town-based Daikin Air Conditioning, says IMPACT Encore was chosen because it is a fully integrated system which ensures up-to-date, exact management information.
"Previously, because reconciliation of foreign supplier invoices with deliveries was time-consuming and unreliable, it could take two to three months to identify errors," he says. "With IMPACT Encore, we know exactly what we owe the foreign suppliers at all times and any errors are picked up immediately."
Daikin Air Conditioning has branches in Johannesburg and Durban which are connected across Diginet lines to a file server in Cape Town. This service will be expedited in 2002 when Daikin migrates to a thin client system.
IMPACT Encore was implemented for Daikin by Enterprise Outsourcing Western Cape, a member of Syspro's worldwide dealer network. The system has been customised to allow Daikin to print purchase orders out of IMPACT Encore in bitmap format, ensuring the systems is always up to date and that customers are supplied timeously.
Commenting on the benefits delivered by IMPACT Encore, Robertson says: "It is an extremely professional product which has substantially improved the way we operate. The fact that it is fully integrated is critical, as it reduces errors and increases productivity. For example, we are able to run a report and e-mail it directly from the system.
"In addition, when creditors are being posted, IMPACT allows us to copy and paste notations to more than one field. We can also see all General Ledger journal entries on the screen simultaneously, making amendments quick and easy. Many of our processes have been automated, with extremely positive results."
The implementation of the Landed Cost Tracking (LCT) module enabled Daikin to enhance neatness, accuracy and the speed of calculating landed costs per stock item. Extensive benefits have also been derived from the full integration from purchase order to landed costing calculation, inventory and payment of suppliers.
"The implementation of LCT and GRN Suspense made reconciliation easy, saving time and leaving a traceable audit trail behind. In the past, the GRN account had to be reconciled manually on spreadsheets," Robertson says.
Daikin Air Conditioning plans to extend its 16-user IMPACT Encore licence during the course of this year to accommodate growing numbers of users in the company.
A leading ERP software manufacturer, Syspro's IMPACT Encore product is used and supported in more than 50 countries around the world. Product-wide support for the creation of XML documents (supported by built-in XSL style sheets to make such documents suitable for rendering in a Web browser) has been included in IMPACT Encore Version 5.0. The company is currently working towards the implementation of XML (and XBRL) support in the General Ledger Financial Report Writer in a future release.
