Lewis Stores has upgraded its pay-roll and human resources administration system to Q Data DynamiQue`s paperless payroll and HR system: Unique HR Administration and Payroll. As part of the changeover, the company has also made the leap from a mainframe-based computing infrastructure to the Windows NT platform. QDD, the e-HR solution specialist in the PQ Africa group supplied and installed the solution.
Commissioned in January 1999, the Unique module is used to pay the company`s salaried staff on a monthly basis, generate historical reports and handle HR information on employees.
"The upgrade from QDD`s older pay-roll system, Q-Pac, to Unique has several direct business benefits," says Lewis Stores` operations accountant Tony Sagnelli. "Workflow and paper flow have been considerably streamlined. With the mainframe system the payroll was manually controlled, information was collected on paper and captured, with the month-end procedure controlled by the mainframe manager. Now the payroll department itself controls the month-end procedure, streamlining the whole process so that payroll changes can be made immediately without involving a third party."
The move to the paperless system has seen the automation of the company`s payroll and HR department, and a streamlining of efficiencies. The time taken to respond to staff queries has also been reduced. With the previous system, staff would have to pull employee reports and manually check on the status of their query; the Unique system enables staff to check progress online, in real-time.
"One of the primary reasons behind the success of the project was that it was driven and managed well by Lewis Stores and QDD. Both teams were focused and worked towards a mutual objective," says QDD divisional executive Delene Smith.
