Liberty Collective Investments implements new workflow system

Liberty Collective Investments Limited, the wealth creation subsidiary of Liberty Group, is implementing a new workflow system to reduce system maintenance costs and increase the level of automation and control of its back-office administration processes.

The system being implemented is a locally developed solution from Mindkey Software Solutions. Mindkey has been providing production workflow solutions to Liberty Group for a number of years, and this new implementation will result in several enhancements and new features being added to the product.

The Web-based system includes a production scanning and indexing component feeding several workflow processes. Inbound fax and e-mail integration is also included. Another key feature is a call centre interface that allows agents to report to clients on any servicing requests in the back-office workflow processes. They are also able to launch work requests into the back-office admin departments, track them and receive responses from the back-office.

The new system will provide Liberty with several advantages, such as reduced licensing, maintenance and deployment costs. In particular, the new features and functionality will allow the system to be expanded into other areas of the business on a very cost-effective basis. The fact that the system is locally developed and supported will also ensure that Liberty is protected from any currency-related cost increases.

Rethink has played a key role in this project, in that it has been responsible for the process design and functional specifications for the current workflow project. This included the mailroom scanning and indexing process, several back-office workflow processes, the administration module, as well as the management reports required to effectively manage the paperless environment. Based on several years of experience with workflow implementations, Rethink has also provided key input into the design and architecture of the workflow engine, ensuring the inclusion of functionality for automating common features of admin processes, as well as system administration functionality that allows easy set-up and deployment of the system.
