Business process management (BPM) company Staffware and Metrofile, the enterprise content management company in the JSE Securities Exchange-listed MGX Group, have jointly delivered an enterprise BPM solution to Professional Provident Society Insurance Company Limited (PPS Insurance) in a deal worth R1 million.
The solution automates PPS Insurance`s workflow processes, handles exceptions and allows users to check the status of tasks at any given time. It replaces an e-mail-based workflow system that had proved unreliable and unstable.
PPS Insurance provides benefits as a long term insurance company exclusively to graduate professionals and currently holds approximately 70% of that market. Metrofile develops and supplies knowledge management solutions including document management and workflow solutions. Staffware is the founder of the independent business process automation and workflow market and has been operating in the sector for over 15 years.
"The inability to deliver proper service resulted in an unacceptable level of service," says Edwin Letty, chief executive at PPS Insurance. "The previous workflow system allowed tasks to slip through the cracks and it proved to be impossible to maintain reports."
Inefficiencies of the old workflow system were highlighted during the business` switch from an AS/400 platform to Windows NT when it became apparent that queries and applications were "lost" in the system.

"The new solution was implemented in four weeks enabling us to find the "lost" applications and providing us with tools to implement and manage the processing of applications across multiple departments," says Letty.
Staffware`s technology has been deployed at seven sites around the country to automate the claims, registration and fulfilment processes.
The new system provides transparency to management that allows them to establish query status. It has also improved service levels and process management. Staff that maintained and operated the previous system have been redeployed within the business.
