Metrofile has concluded a R6.8 million consolidation and expansion project at its Cleveland, Johannesburg document storage and conversion centre.
The project kicked off in April and combines the Cleveland-based storage and the Linbro Business Park-based conversion facilities into one.
"It makes a lot of operational sense to convert our customer documents at the same facility where we store them," says Andr'e Pistorius, Johannesburg conversion manager at Metrofile. "It has massively improved our workflow and customer service and reduced our operating costs."
The improved workflow has also increased the volume of documents Metrofile can scan at its Cleveland facility using the same staff and equipment. Scanning, filming, storage and retrieval are now combined on one property.
The move saw a minimum interruption to customers. Continued operations are a crucial aspect of the service Metrofile provides its customers. They are faced with greater volumes of paper and electronic documents in an increasingly regulated and legislated environment and one in which customers are more demanding and service levels have become a competitive advantage. The greater volumes alone can prove significantly costly to most customers and it is to save money and improve operational efficiencies that they engage with Metrofile.
"We pride ourselves in the fact that we were in production only 24 hours after the move," says Pistorius.
The move included 60 people and all of the conversion centre`s equipment, ranging from office furniture, PCs and laptops, networking equipment and servers, to a large-format microfilm camera, the Com machines that produce microfiche and the scanners that turn paper documents into digital documents.
"Our primary employees are very happy because most of them have saved between R200 and R400 per month on transport," says Pistorius. "Many of them also had to wake up at 4:00am to catch taxis to be at our Linbro office by 8:00am but transport is no longer an issue for them to reach our Cleveland office."
