The application is designed to simplify document output management, while tracking document output and related printing costs. The system allows users to track their printing volumes, and managers to better control and reduce printing costs. However, it is the ID-Card and PIN authentication functionality that really impresses. MyQ increases the security of printing through data encryption and its Print&Follow function ensures that documents can only be accessed and printed by authorised people. Printing, copying and scanning starts only after the user has logged in at a selected device. Eliminating the tendency for documents to be left unattended in the print tray.
Pachai says: "One of the advantages that MyQ offers companies is the ability to customise levels of security within their workgroups. They can choose to make devices accessible in one step by PIN, ID card or Windows login, or they can increase security by activating two phase authentication. Which means users will need to use both an ID card and a PIN to access devices on the network."
In addition to the authentication layers, MyQ also incorporates features that increase user-friendliness and cost efficiency. A well-structured and intuitive interface simplifies the process and offers you shortcuts to your most used scanning, faxing and printing settings. Users can access their account with their web browser and keep track of their personal printing jobs and documents can also be printed from mobile devices by sending an email to the MyQ server.
Kyocera MyQ automatically distributes print jobs to the most appropriate devices within the print cluster, based on speed and operational capability, thereby improving efficiency. MyQ also keeps detailed statistics about the printing costs generated by a project, user or department. The printing fleet can be optimised using this information, leading to cost reductions.
While futurists have long talked of the paperless office, businesses in fact continue to print large volumes of important information. Kyocera MyQ marks a change in perception regarding document output, in which the printed page is no longer seen as separate from the digital workgroup. Which means securing this information now forms part of every company's information technology strategy.
