SAP Document Management: A no-brainer decision

Johannesburg, 24 Feb 2006

"For companies running on SAP, switching on the SAP Document Management System (DMS) as part of their enterprise content management strategy is a no-brainer," says Michelle Momberg, director responsible for SAP ECM at NokusaEI.

Many companies using SAP as their ERP system are unaware they have a modern, fully fledged world-class enterprise scale document management system available within the standard SAP licensing agreement at no additional software cost. Activating this functionality as the enterprise document management system has significant business benefits.

Functionality: The SAP Enterprise Content Management (ECM) functionality, of which the document management system is part, is equivalent to best-of-breed standards and on par with all leading standalone ECM vendor systems. Many major international organisations use the SAP DMS system very effectively as their enterprise document management solution, and there are successful case studies available within all industries.

Business integration: By far the biggest value offered by the SAP DMS is that as an integrated part of the SAP ERP system, documents are seamlessly available to all SAP users from within their business systems. Whether you are an accounts payable clerk, a maintenance planner, a buyer, the HR manager or the CEO - the latest version of any document you need is available within the SAP screen you use for your day-to-day work, without you even being aware that there is a document management system implemented as part of the backend solution. This leads to significantly reduced risk of working with the wrong or outdated information and a notable increase in productivity.

Collaboration: As the SAP DMS is fully integrated in all of the SAP solutions like business workflow, project systems, HR systems, authorisations etc, collaboration and the automation of business processes using documents is a cinch. In fact, any logical document business process can be automated seamlessly in SAP, using standard SAP functionality.

Local support and references: More than 50 successful SAP DMS projects have been implemented in South Africa by NokusaEI, the leading international implementer of the SAP ECM functionality. This is more than any comparable document management system, and a testament to the trust major companies place in the product and implementer.

Cost: Best of all, as the SAP document management system is part of the standard SAP software, there is no additional software cost to utilise it - it has already been paid for as part of standard SAP licensing. All that is needed is to configure it to reflect your business processes.
