Turn paper forms into Adobe forms

Johannesburg, 01 Jun 2009

Companies in today's day and age are constantly faced with the challenge of increasing profitability and efficiency while reducing operating costs. All this, while still maintaining customer satisfaction and ensuring governance and compliance. What companies tend to ignore is the fact that paper-based forms are keeping them back and increasing the cost of doing day-to-day business!

Paper-based processes have limitations and are costly to maintain. Costs are increased due to data redundancy and the manual intervention required to capture the data into business systems. Other cost factors are storage costs and production/printing costs. Some companies have “hundreds” of forms to manage, these are often managed alongside the business processes and the tracking of the forms within each departmental business process is a nightmare!

Due to the demand for e-forms, SAP and Adobe Systems have partnered to create a solution for organisations to create and manage e-forms and integrate them into existing SAP business processes. SAP Interactive Forms by Adobe (SIFbA), specifically integrates Adobe Portable Document Format (pdf) directly into any SAP Netweaver business process.

With SAP and Adobe forms, customers will streamline paper-based business processes by generating forms that contain data that is auto extracted from SAP. In addition, they can use dynamic/interactive forms or static output/print forms and submit data back into SAP once the form has been processed. Forms can be submitted electronically and sent throughout the business, all according to pre-defined business process rules. These forms can then be approved or processed and stored as a record against the relevant transaction within SAP. A practical example - an employee completes a leave application form, the form can be completed online or offline, submitted to the back-end system, sent to the manager, approved and then attached as a record to the employee record in SAP. Forms can then be tracked and processed electronically with minimal data entry correction, no or little manual intervention and stored electronically according to compliance, thereby saving the organisation time and money.
