Xerox enhances ScanFlowStore scanning, archiving software

Xerox has released the updated version of ScanFlowStore, software that allows users to scan hardcopy documents and send them to a range of destinations, such as network servers, document management solutions, e-mail addresses or financial accounting packages such as Microsoft Great Plains.

The updated software brings a host of new functionality to users, including hot buttons, Zone OCR, browse and print features, and it integrates directly into Xerox MFPs.

“ScanFlowStore retains all its base functionality of helping companies digitise hardcopy documents intelligently into various destinations such as archives, and adds this new functionality that extends the solution even further,” says Grant Long, software manager at Bytes Document Solutions, authorised distributor of Xerox products and solutions to 24 sub-Saharan countries.

Hot buttons make functionality accessible at the touch of a button displayed on a Xerox MFP's interface. They give users multiple rows of buttons that drive direct access to multiple business workflows.

Zone OCR makes it possible for ScanFlowStore users to automatically extract data from documents, which means they can manage larger volumes. Specifically, Zone OCR allows users to scan documents containing structured data, such as forms or invoices. It can scan entire documents for specific pieces of information, portions of a document or scan and separate all the available information on a document.

The product can read many standard bar code fonts; useful for batch scanning and to eliminate manual user data entry at the multifunction device. Bar code separation allows sheet batch scanning. Batches are separated into multiple documents based on the location of the bar code, and each document can then be routed to a destination or uniquely named based on the value contained in the bar code.

Users can also enter additional information using the WorkCentre touch screen to index invoices and any other type of document in the correct collection.

That capability means that workers will be able to start a workflow with a scanned document or receive an e-mail notification and gain additional search functions.

While ScanFlowStore users could always scan and store documents to any specified location on the network, they can now browse for any print-ready file, such as PDF, JPG or TIFF, that is stored in a Windows file structure, Xerox DocuShare or Microsoft SharePoint, and print it immediately directly from the MFP.

ScanFlowStore was developed by X-Solutions, a Xerox Business Partner, and also connects with legal practice and financial management software packages such as Thomson Elite ProLaw, and scanned files are saved as text-searchable PDFs, making hardcopy documents easy to find on a network server.

ScanFlowStore makes it possible to digitise all documents without having to install software on local PCs. Since it is a middleware application, users do not interact with the software, which means no additional training is required.
