Untracked printing expenses can have a negative impact on any IT budget. Therefore it's essential to have a sound printing strategy in place. It's a fact that printing is here to stay for a good while longer, so effectively managing print within an organisation is a top priority.

On this note, partnering with ITWeb, Taropa Technologies is conducting an online Printing Survey during October to determine the printing deliverables required by South African organisations.

"The main reason for undertaking this survey is to fully understand the current printing landscape in South Africa and to then use the collated information to increase our customer-centric approach in business," explains Sollie Nortje, General Manager at Taropa Technologies.

According to Nortje, businesses are increasingly demanding high productivity and lower operating costs with regards to printing solutions.

"Ease of use, versatility, reduced space, power and time saving are all factors that business' need to consider when in the process of purchasing an office printer. Not choosing the right printer and partner for your business can have implications on an organisation's day-to-day output and total cost of ownership."

With regards to the best way print spend can be effectively managed, he says that adjusting the basic settings on a print driver will not only control print volume but also have an impact on spend.

"Businesses can manage their usage volumes in various ways to not only reduce cost but also reduce their carbon footprint. Simple things, like putting together a printing policy, that requests users to print duplex instead of single, print mono instead of colour, all contribute to the success of managing your print spend. Secure print also controls the print volume by giving each user a secure log in to access his/her prints. Running weekly and monthly reports to see who your top users are will create awareness in the organisation and reduce prints."

He believes implementing a Managed Print Solution Software on your device will improve efficiency in your business, providing a single point of management and user data base and saving you time.

Having a quality product fitted with the latest technology to improve work flow, can reduce cost and increase productivity in your business.

"However just as important as the printer, is your service provider," he adds.

Nortje says a service provider for your printing requirements needs to be knowledgeable about printing solutions and be ready to assist your business to keep it running smoothly.

"We see that most large corporate companies and government are running a Managed Print Solution to reduce cost and manage their printing volumes. Small to medium businesses have also acquired these services," Nortje concludes.
