The local office of ACCPAC International, ACCPAC Africa, has donated R46 000 worth of ACCPAC software to the Tumelong Mission, based near Pretoria.
The Tumelong Mission has been working as a charitable, non-profit organisation since 1939. Initially started to provide care and relief to the people relocated under the Group Areas Act, its role has expanded over the years to encompass the many specific needs of the community including hospices, AIDS orphans and the Bokamoso Youth Diversion programme which deals with youth at risk and has trained, and now employs, 35 youths permanently.
Tumelong's overseas funders require specific reporting structures and the company found that it needed an inventory system that would be able to monitor raw materials and costings as well as a debtors and creditors system.
Financial Officer Cathi Egan, a veteran ACCPAC user, immediately turned to ACCPAC Africa for assistance. "Unfortunately, when you have worked on ACCPAC, even the outdated DOS version, it spoils you for all other accounting packages, it was for this reason that we decided to approach ACCPAC Africa and ask for assistance.
"Tumelong is just too diverse to even think about using a cheaper, less effective package. As a welfare organisation that relies completely on donor funding, it is imperative that the financials are completely transparent and easily audited. With the ACCPAC software we will be able to present an accurate set of accounts that will meet the reporting requirements of all our financial backers."
Lucy Rogers of Leading Information Technologies, an ACCPAC solution provider, is handling the installation and support of the system. "On analysing the requirements for Tumelong, it was identified that the ACCPAC Advantage Series (Corporate Edition) was the most suitable solution," she says. "With various branches/areas as well as a multitude of funding organisations donating to the fund, the General Ledger with its three-level account code structure was needed.
"The breakdown of various funds and projects will provide the necessary reporting and drilldown information needed in the General Ledger. Crystal Report Writer, which ships with ACCPAC, offers unlimited reporting and customisation, which will satisfy Tumelong's reporting needs," adds Rogers.
According to Ann Cumming, marketing manager: Simply Accounting at ACCPAC Africa, a need was also identified to assist variously situated branches to record their stock and invoicing. "Simply Accounting, by virtue of its powerful features and e-mail ready functions and export features, integrates via an automated import procedure with the broader ACCPAC suite deployed at Tumelong Head Office," she notes.
The ACCPAC Advantage Series 5 delivers significant cost of ownership reductions for mid-market organisations by allowing them to fully exploit Web technologies. Compared with traditional client-server applications, the new design has a direct impact on the bottom line by notably reducing the cost of deployment, maintenance and training. The product need only be installed on a single server, regardless of the number of users or remote sites, which allows companies the advantages of centralised deployment.
