ASYST International SA today announced the availability of a Purchase Control module for the Access Accounts `Dimensions` solution.
The Purchase Control (PC) module is the newest addition to the range and is designed to give users greater control over the purchase process by comparing individual purchase orders against budgets and, where the order fails to meet predetermined criteria, instigating on-screen warnings or forced batch processing.
PC introduces a completely new layer of security to procurement and commitment tracking. Where Invoice Register prevents users from inadvertently paying for disputed or incomplete orders, PC helps to stop overspending and tighten expenditure monitoring on an automated `order by order` and `line by line` basis.
The PC module includes five key features:
* Authorisation, where senior staff can be set-up to authorise purchase orders in a number of ways. The three different methods of authorisation are User Budget Control, Nominal Budget Control and `All orders to be authorised`.
* Order entering, where a new icon has been added to the purchase order screen that enables users to reveal budget control values while orders are being input.
* Batch Processing, where a batch can specifically include or exclude orders requiring authorisation.
* Reporting, where enhancements have been included to maximise the benefits of this new module.
* Enquiry, where authorisation details are automatically added to the transaction notes for each order and thus forms part of the audit trail.
