Bytes Document Solutions extends content management solution

Bytes Document Solutions, authorised distributor of Xerox products and solutions to 24 African countries, has added Kofax to its local product set.

Kofax document capture software streamlines and accelerates document-driven businesses across industries, complementing the DocuShare content management software provided by Bytes Document Solutions. "The solution manages, processes and integrates operational documents so businesses can reduce turnaround times, ensure they don't lose documents and more," says Grant Long, software product manager of Xerox Global Services at Bytes Document Solutions.

"Insurance companies can use it to enhance claims processing, logistics firms for better proof-of-delivery (POD) processes, banks for managing accounts, government departments for case management, and almost any organisation for invoice processing."

In a typical scenario, the solution will be used to scan a POD note using optical character recognition (OCR), cross-reference the information against an existing database and then drop the scanned document into the document management system, for digital storage and retrieval or workflows.

The efficiency benefits are enormous.

"In a geographically distributed organisation, POD notes and invoices can be scanned at the distribution centre or the local office, entered into the system and are available online at the head office, which may be hundreds of kilometres away," says Long. "That means there is no lengthy wait while paper notes are shipped across the country and, as so often happens, lost in the mail, which only extends already lengthy delays.

"Companies can reduce their waiting period for invoices and delivery notes from anywhere between one and two weeks to just one to two days, releasing millions of rands into the financial stream almost immediately."

The software, available from Bytes Document Solutions, captures documents and forms even from remote locations, be they electronic or paper, turns them into accurate, retrievable information and delivers them into business applications, databases and content management solutions.

Information is organised and made available through a Web-based application that delivers content management capabilities, allowing people to manage, share and protect a range of paper and electronic content in a secure, central, scalable repository.
