Due to the large amount of companies offering managed print service packages, it may prove to be a challenge to pick one that's ideally suited for an organisation.
This is according to printing solutions provider OKI. In a statement, OKI advises that a managed print service provider worth considering must perform a thorough print audit to assess the output from the copy or print devices currently utilised by the business.
It adds that a suitable service provider must offer an organisation a detailed report on the current situation and propose a strategy to maintain or improve the cost sustainability.
OKI notes that one of the greatest managed print service advantages is simplified billing. Irrespective of the duration of the service agreement with a chosen provider, an organisation should expect one regular invoice with all print, copy, imaging, servicing and toner costs in one combined fixed price.
An effective managed print service provider should supply devices integrated with specialist software, which, at the most basic level, monitor and report on activity and output. If a more complex setting is necessary, default settings and user authentication technologies can be assigned to control the print output and minimise waste, says OKI.
OKI advises enterprises to read the fine print as some unethical print or copy providers distribute second-hand, refurbished devices and remanufactured toner cartridges as new ones.
Also, an organisation needs to ensure that before it enters into a partnership, it must be fully aware of exactly what it's getting from the service provider, and understand what the provider will require should it decide to exit the agreement before the maturing date, which might result in financial penalties.
Once managed print services are employed, an organisation won't need to order a toner again, suggests OKI. The printing devices will incorporate software configured to alert its service provider when a technical problem or routine service is necessary.
According to Craig Green, OPB channel manager at Bytes Document Solutions, the key to success with any managed print service solution is properly trained staff - ensuring the customer won't have to face the very challenges they are trying to avoid by having managed print in the first place.
In conclusion, businesses offer a variety of different products and services - printed requirements differ too. Therefore, knowing a company's service provider allows it to take control seamlessly, says OKI.
