A good -based payroll solution will keep payroll safe and secure.

So says Anton van Heerden, MD of Sage HR & Payroll, who notes without a good payroll solution in place, companies could, for example, risk making errors in their submissions to SARS, or struggle to pay workers accurately and on time. A lack of controls may also open gaps for payroll fraud, he adds.

He explains a cloud-based payroll solution is easy to use. For example, it will have no payroll jargon and lets users simply sign up, add employees and start processing in minutes, Van Heerden says.

"And of course, it must be fully compliant with SARS regulations and South African labour laws. It should allow users to comply with SARS requirements and generate tax certificates at the click of a button. Support remains important, even in cloud systems. Cloud systems are normally supported through telephonic, e-mail and live chat interaction between users and suppliers."

He adds, with cloud, companies can pay for as many users as they need and also the necessary apps when they are needed ? it's easy to adjust costs up and down in response to the needs of the business.

"The flexibility of the cloud saves money. Cloud payroll offers true pay-as-you-go functionality since companies pay only for the amount of payslips they process. This is especially cost-effective if enterprises have seasonal workers or temporary employees."

He mentions flexible and affordable pricing is important; so is the additional security offered by a cloud solution. Because companies are able to access their data from the cloud, the data is available online, anywhere, anytime.

Van Heerden says cloud offers HR and payroll managers more flexibility in how they do their jobs. "With cloud solutions, companies should experience no or very limited down time. Top cloud businesses invest a lot in infrastructure to minimise downtime. This would typically involve multiple data centres synced with one another."
