Defective document-driven processes increase costs and risk

Document-driven processes are critical information arteries that drive organisations' financial results, both top line and bottom line.

"Document-driven processes, those business processes that are governed and controlled by documents in electronic or paper format, have a significant impact on any company's -facing functions and their ability to deliver acceptable levels," says Sharon Reid, managed document services (MDS) business manager at Ricoh.

"Recent IDC research shows that three out of every four process owners surveyed reported that their companies experienced serious business and/or compliance issues as a direct result of defective document-driven business processes.

"In fact, in their role as consumers, more than half of the 1 500-plus respondents in this global survey said they were unhappy with the document-driven processes in six of the seven industries studied, which included business services, government, healthcare, education, insurance and telecommunications. In addition, inefficient processes cost companies money. Re-engineering these processes can yield strategic, top-line benefits including increased revenue and improved market responsiveness," she says.

"The problems here are not just confined to a company's internal document processes. Everyone's business partners also play a key role in their success. Over three-quarters of the survey respondents felt it was crucial that their suppliers and other business partners had effective document processes, but only about half were satisfied with what had been implemented."

Reid will open the upcoming Ricoh Managed Document Services Executive Forum, which will be held in Johannesburg, Durban and Cape Town during August and September. Practical POPI implementation techniques and how managed document services can help will be covered byindependent consultant and privacy advisor Russell Opland. The final presentation will be delivered by Paul St Quintin, senior consultant at Deloitte, who will be asking whether "it is time to go paperless?"
