Document Warehouse realising benefits from Sage

Specialist information management solution provider, The Document Warehouse, says it is realising the benefits of implementing additional modules to its integrated Sage accounting solution from Business Connexion.

The company has been in operation since 1992, storing business documents for companies that have outsourced their filing departments.

Companies are obliged by law to store their information securely for a specified period of time, and have that information readily available, which puts extra pressure on storage companies such as The Document Warehouse to be as efficient as possible.

"Up until the original Sage Enterprise implementation just under two years ago," says Clive Petersen, financial director at The Document Warehouse, "we were running basic DOS-based accounting and stock-control systems, which were not delivering the levels of efficiency required as the business grew."

After much consideration, Petersen says, The Document Warehouse invested in Sage Enterprise (now upgraded to Sage Line 500) because of the solution`s competitive pricing models and Business Connexion`s ability to implement on that level.

Craig Fairhead, account manager at Business Connexion`s Enterprise Application Solutions Competency, says the project`s success was based on the fulfilment of certain criteria laid down by The Document Warehouse.

"The solution had to be rolled out fairly quickly," he says, "and also had to be very flexible. The implementation was required to deliver increased efficiencies to The Document Warehouse from both an accounting and stock control point-of-view, while maintaining the lowest possible cost of ownership."

Petersen says that, in addition to meeting the company`s expectations from an integration and functionality perspective, the solution brought with it many other benefits that cannot be measured in rands and cents.

"The system saves us time with month-end reports and delivers a much higher level of data integrity," Petersen comments, "which is very important in our line of business as accuracy is everything."

He says the system is also highly robust and offers easy access to data and information. "The initial decision to roll-out the system was met with some resistance, but our users are very happy with the solution`s functionality and performance now that it is up and running," Petersen adds.

Looking ahead, Petersen says the solution will be extended to include remote storage facilities.

Fairhead adds that they will also look at rolling out web clients for anytime-anywhere access to Sage data. "This could be extended to offering clients direct access to their information from remote sites," he concludes.
