Emergia Solutions has partnered with Message Solution Inc, a US company, to offer an e-mail archiving and management solution on the African continent. This is a critical element of an organisation`s management of server space, e-mail cost reduction and litigation support, which up to now, has been difficult to address.
According to the Managing Director of Emergia Solutions, Harold Bopalamo, Message Solution`s Enterprise Email Archiving (EEA) solution is the ideal solution for ensuring that proper e-mail records are kept by organisations such as banks, law firms and other organisations.
"The benefits are enormous," according to Bopalamo. "How does an organisation ensure that e-mails are properly kept, indexed, archived, non-tamperable and are easily retrievable in case of urgent need such as litigation or simply for reference?"
The use of tedious and costly tape backup systems with no search capabilities is simply not an option any longer.
There are various reasons why EEA is important. JSE investigations, litigation issues, access to IP-related information, e-mail server performance, storage and retrieval, indexing for easy access, search capabilities, etc. There is also a general corporate concern with privacy and administrator access. Currently, an administrator can read all e-mails, including the CEO`s, and use the information undetected. Emergia can offer the ability to store e-mails in folders using EEA, and enable monitoring and auditing of all access and attempted access to these e-mails.
An operational concern is with the volume of e-mails that users receive. This leads to restrictions on the amount of server space that a user can occupy. With EEA, space restrictions are eliminated and server performance is enhanced. When e-mails are handled via EEA, they are stored in various digital, tamper-proof formats, thus enhancing security. Documents can also be retrieved via the Internet, thus further improving access.
EEA supports both Microsoft and Linux environments, and works on all e-mail servers. EEA was developed to ensure there is no reliance on third party software for database or search functionality, both are embedded in the software.
