Local value added service provider, Ethniks Systems, has provided a solution for Telkom`s extensive forms processing and data capturing system through Prisma Solutions` TELEform.
According to Hugo Leuner, managing director of Prisma Solution, TELEform streamlines the collection of data from faxes, paper forms and scanned images by interpreting hand print, machine print, check boxes, bubbles, generated forms and bar codes using fax machines and scanners.
After automatically processing each form, TELEform highlights the illegible and invalid entries for quick operator attention. Because TELEform processes the majority of the information, entry operators spend seconds verifying questionable data rather than minutes manually keying entire forms.
In the end, the data produced by TELEform looks exactly like the data from current manual systems and can be exported to any database application including ODBC, SAP, Oracle, and many more.
Rian Botha, senior sales consultant at Ethniks Systems, says "Telkom has approximately 112 different types of forms to process for 42 000 employees including leave forms, time sheets, contractor forms and typical human resources forms."
"A typical scenario at Telkom is, Person A fills in an application form for leave. By the time the form is processed, four weeks later, while Person A is already on leave, it is discovered that Person A does not have leave days left. The delay in the system caused loss of control in some cases."
Telkom could not handle the large volumes of form processing and needed a solution to automate and speed up this process with accuracy.
After a brief consultation, Ethniks Systems recommended Telkom to implement TELEform, in conjunction with IXOS and SAP.
TELEform identifies the type of Telkom form and verifies the data on the form. TELEform sends the data to SAP for validation. SAP automatically crosschecks details of the employee, verifies the request on the form and sends an answer back to TELEform. An image of the form is then exported from TELEform to the IXOS system.
Unsuccessful applications are sent back with a reason via the RightFAX server to the originator.
TELEform also makes it possible to collect data from Internet forms.
The Internet solution converts paper-based forms into full-featured Web forms and automates Internet/Intranet data collection.
Kevin Greig, marketing director at Ethniks Systems, says "Ethniks Systems has made it possible for Telkom to maximise their staff productivity. With TELEform, only six of the 82 data processors are needed to process all the Telkom forms. This means that the remaining 76 employees can get on with much more important human resources matters without wasting precious time processing forms."
