G4S Cash Solutions, a provider of integrated cash management solutions, has selected Itec as its service provider and supplier of choice to boost the efficiency and reduce the costs of its office automation environment.
With 36 offices countrywide, G4S runs a substantial office automation infrastructure that makes a significant contribution to its operational expenses. The company prints and copies in excess of 50 000 pages per month across these branches and depends on reliable office automation services to keep its business processes flowing optimally.
In 2008, the company decided that it wanted to conduct an extensive audit of this infrastructure with the goal of identifying efficiency gains and cost-savings. After it approached several suppliers, G4S was most impressed by Itec. Itec agreed to do a comprehensive review of the existing print and copy infrastructure at G4S and put together a proposal based on its findings.
Based on the findings of a per-branch, per-machine review of G4S's office automation environment, Itec proposed a cost-effective solution that would enable G4S to achieve significant cost-savings over the five-year contractual period. Under the terms of the agreement, Itec supplies, supports and maintains the entire fleet of multifunction products for G4S.
Says G4S's Financial Manager, Nicolette Cloete: “When we were searching for a new office automation partner, Itec was the one that seemed to offer us the best solution. It was willing to work with us to audit and optimise our environment, before we signed a deal. This was a big factor in our decision to partner with Itec.”
In addition, Itec committed to service level agreements (SLAs) that gave G4S the confidence that the infrastructure at each of its branches would be kept running smoothly at all times.
“Itec's support has been excellent at all of G4S's branches, even those that are not in major centres,” adds Cloete. The SLAs have specific penalty clauses, which mean that Itec shares the risks of infrastructure downtime with G4S. Through its contract with Itec, G4S has centralised control over, and a single SLA for, office automation across all of its branches.
“Today, companies like G4S are not simply buying printer hardware and maintenance,” says Shani de Koker, Account Executive at Itec. “They are also looking to their office automation partners for help with services and consulting. Office automation suppliers need to be able to help clients optimise their costs and infrastructure.”
