Huge savings by automating document delivery with MFPs

Johannesburg, 14 Nov 2006

The consolidation of printing, scanning and copying services on a centralised multifunction product (MFP) is one of the fastest growing trends within organisations today.

Companies can benefit immensely from automating document delivery with multifunction products, saving valuable time, resources and office space. This is the view of Abnoba CEO Fairoz Jaffer.

"If one has ever managed multiple printers, scanners and copy machines, it is very clear that consolidating these services provides substantial advantages. Although one has already realised a good return on investment, there may still be other office equipment draining one's limited resources - the standalone fax machines and fax modems scattered around one's organisation," he explains.

Jaffer says companies that haven't integrated enterprise fax server software with their MFPs are falling behind in technology consolidation. "They are wasting unnecessary time and money by not following the trends in technology consolidation. Enterprise fax server software combined with one's MFPs and other business applications allows employees to be more productive. They can fulfil these functions more efficiently, accurately, securely and at a much lower cost."

"Although most organisations have invested in a credible MFP strategy, they have not necessarily consolidated their strategy with other applications. Companies will significantly extend their investment and eliminate costly inefficiencies by consolidating enterprise faxing with MFPs."

Enterprise faxing works with MFPs to consolidate all faxing services on the network, giving users convenient walk-up access to faxing on the same MFP they use daily for printing, scanning and copying. MFP users also get access to sophisticated fax services such as multiple cover sheets, delivery to group lists, audit trails, tracking, notifications and options for certified, encrypted document delivery. This also enables compliance standards like Sarbanes-Oxley, Basel II, etc.

Enterprise faxing becomes the organisation's centralised document delivery hub, improving the efficiency and security of document-based transactions while reducing costs. This gives organisations a powerful way to consolidate resources and streamline workflow processes while saving time and money on administrative tasks.

The benefits of integrating enterprise faxing with MFPs:

* Reduced total cost of ownership.
* By consolidating faxing into MFPs, organisations can eliminate or drastically reduce standalone fax machines and/or analogue phone lines, as well as associated supplies and maintenance costs.
* Increased productivity and efficiency.
* Allow users to fax, print, copy and scan from one device to save time and improve workflow processes.
* Centralise control of faxing.
* Move all fax resources to the network to provide one point of control for hard copy and electronic faxing.
* Improved security and support compliance.
* Use RightFax to manage documents sent from networked MFPs and provide secure document delivery options, notifications and archival of sent and received faxes to safeguard confidentiality and support regulatory compliance.
* RightFax audit trail, electronic tracking, and tamper-resistant delivery features offer better security for scanned documents.
* With the RightFax MFP module one can leverage long-standing partnerships and tested integrations with HP, Sharp and Xerox to ensure tight, reliable integrations and industry-leading functionality.

"Abnoba has performed numerous MFP integrations with RightFax MFP and other MFPs like HP and Nashua, for example. RightFax seamlessly integrates with desktops, e-mail, CRM, ERP, imaging, OCR/intelligent character recognition (TeleForm), multifunction products, workflow, document management and other essential business applications to efficiently and securely send and receive any document from virtually any application within an enterprise via fax, e-mail, print devices or the Internet," Jaffer concludes.
