Kwezi V3 Engineers increases billings, saves on paper costs with Equitrac

Kwezi V3 Engineers has improved its billing system, eliminated unnecessary printing and is saving thousands on paper costs, thanks to Bidvest group company, Minolta South Africa, and Equitrac document accounting software.

Minolta South Africa`s Integration Systems Information Exchange (MiSix) product manager, Mohammed Vachiat, says Minolta South Africa implemented Equitrac document accounting software at Kwezi V3 Engineers` Pretoria offices in May 2004.

"The software was installed on a Windows 2003 server, incorporating a client-billing module and alphanumeric page counter terminals, which are connected to all brands of multifunctional devices. Equitrac also allows normal printing to desktops to be tracked and rerouted to a multifunctional device if the document is larger than 10 pages," says Vachiat.

The installation was conducted by Minolta South Africa`s MiSix division, which continues to provide ongoing software support to the civil engineering company.

Vachiat says Equitrac began to prove itself at Kwezi after a few months when an additional 35% worth of paper disbursements was invoiced.

"This was a vast improvement on previous months and continues to improve month after month. With Equitrac in place, all Kwezi documents, such as engineering plans or policies, will simply not be printed if they are not charged to a specific customer code," he says.

Minolta South Africa is one of Equitrac`s principle business partners in the country and has successfully installed the program at businesses in the motor, health, insurance and banking industries.

Equitrac allows businesses to recover costs and manage expenses associated with prints, copies, faxes and scans, which is done by breaking down document production costs per user, department, cost centre, project or billing code.

Vachiat says the system, which has also been integrated with Kwezi`s financial application, Proman, has been so successful that the engineering company is considering implementing it nationally.
