Metrofile personnel records management workshop November 2007

Metrofile`s newly launched records management training facility, Metrofile Training Academy, will host its first workshop at the Eskom Heritage Conference Centre in Rosherville on Thursday, 8 and Friday, 9 November 2007.

"Metrofile has many years of experience assisting a multitude of large organisations within the public and private sectors in South Africa with records management," says Selelepoo Sebaka, MD of Metrofile Academy.

"Based on this knowledge and expertise, we have designed certified workshops and courses to address the needs of records management practitioners in the country.

"We are very excited to be launching our first such workshop in November," he adds.

Motivation for the workshop

Poor recordkeeping of personnel records has been identified by the Office of the Auditor-General and the Standing Committee on Public Accounts (SCOPA) as a major problem within the South African Public Sector.

In a bid to redress the problem and to reduce the skills shortage among records management practitioners, Metrofile Training Academy is offering this certified course in the management of personnel records.

The course, entitled: "Management of Public Sector Personnel Records", provides insight into how the Department of Public Service and Administration`s (DPSA`s) Best Practice Model on the management of personnel records and the National Minimum Information Requirements (NMIR) can be applied to better maintain personnel records.

Xhead Who should attend the workshop?

Although the academy also offers generic records management courses, its training model focuses on programmes that are sector-specific and record group-specific.

This course is specifically directed at heads of HR and records management units, human resource administrators, registry officials, and support staff responsible for maintaining personnel records, particularly in the public sector.

However, the principles can be applied equally to the private sector and all records management practitioners would benefit from the workshop.

Benefits of the workshop

The workshop will assist records management practitioners to develop effective strategies for organising and maintaining personnel records, ensuring that records are accurate, complete and easily accessible.

The significance of personnel records as a resource for public sector personnel management and human resources planning, and the benefits of sound personnel records management will be explained.

The course also provides insight into the role of personnel records as tools for monitoring staff performance and staff numbers.

Public sector records management practitioners will be empowered to comply with legislation and apply best practice principles to the management of personnel records.

Delegates will also be taught how to negotiate the tricky area of access versus confidentiality and how to decide on whether to use a paper, electronic or hybrid system of recordkeeping. A best practice model for the disposal of records, as well as the development of a retention schedule, will also be addressed.

Public sector managers will gain insight into how personnel records management teams should be directed and what management frameworks are necessary for the control of personnel records.

An on-site visit to Metrofile`s warehouse will provide delegates with the opportunity to see high-volume records management in action.

The course will also provide a valuable networking opportunity for delegates to share ideas, discuss problems, find solutions, and broaden their knowledge of the current state of records management.

The workshop begins at 8:30am each day and runs until 16:30pm. The cost is R5 999 (excl VAT) per delegate.
