Minolta South Africa, the principle importer and distributor of Konica Minolta products in SA, has announced the launch of its new Informeta Document Management Solution software range.
The new range includes content management as well as optical character recognition software solutions, both of which are designed to enhance overall productivity as well as the effectiveness of information.
Content management, seen as the evolution of document management, is used to collect, index, manage and store digital information in any form. These include text, audio clips, scanned documents, Microsoft Office documents, Adobe PDF or any form of electronic document or content. A secure central repository is created on a server, while users gain controlled access through a client interface.
Minolta`s Integrated Systems Information Exchange Division (MiSix) began development of the new range following a realisation that efficient management of information could reduce the risk of documents and information being incorrectly utilised or lost.
"The more information your company generates, the more likely you are going to need a system to manage it," says MiSix product manager Jody Harrington.
Harrington says content management benefits organisations through the creation of a central information repository, the creation of improved information quality and security and a vital boost in productivity.
"Once information is stored within the system, users can use powerful search functions to locate the stored information, share and update information while ensuring consistency with revision control and route documents according to business processes," he says.
"Hardware space has become a very affordable commodity, making this a very attractive solution for organisations of all sizes," says Harrington.
Optical Character Recognition (OCR) comes into play for companies which require working electronic copies of paper documents. OCR enhances these by converting images of scanned documents into editable versions, while at the same time retaining the correct layouts, images and fonts. Depending on which version is being used, OCR is also able to convert handwriting.
Both products are Windows-based and are easily interfaced with a company`s network environment. The Informeta Document management solution range is available through the Minolta dealer network.
