Content management solution specialist Mint has developed its eGovernment Accelerator to provide government departments with a mechanism for efficiently and cost-effectively sharing documents and information with relevant stakeholders.
The tool enables departments to speed up document-intensive processes, address issues of transparency and interact with public and corporate constituents in a seamless way.
"Governments throughout Africa face challenges relating to the delivery of documents and information," says Grant Hodgkinson, business development director at Mint. "The eGovernment Accelerator enables government departments, agencies and ministries to work together more productively. It provides a storage mechanism for all information produced and disseminated. It enhances search capabilities and provides tracking facilities to help users find information that relates directly to them."
Already in use at the Office of the President in Rwanda, eGovernment Accelerator empowers users to create a meeting area in which agendas can be recorded, supporting documents uploaded, and meeting objectives and attendees finalised. Attendees can be set up to automatically receive e-mail notification when new information is loaded, thus avoiding frequent visits to the site to check for updates.
In this workspace, users can drill through discussion and meeting notes, review documentation and decisions. Search capabilities allow the user to type in a phrase and search across all current and historical information. Users are able to categorise the documents they upload as well, which makes future searching and referencing of information easier.
"Creating a digital workplace where users can share their thoughts, even when away from their offices or in remote locations, allows people to easily and swiftly contribute to any topic under review," Hodgkinson says. "This ensures that all users are aware of each other`s activities before meetings or discussions and eliminates duplication of efforts. The cost of document printing and shipping is also greatly reduced. Organisations worldwide are starting to embrace collaboration initiatives such as this at a more rapid rate. Governments across Africa stand to gain greater efficiencies and cost savings if, and when, they follow suit."
eGovernment Accelerator leverages collaboration and document management capabilities provided by Microsoft Windows SharePoint Services.
