New version of Equitrac makes life easier for office equipment users

Minolta South Africa, a principle importer and distributor of Konica Minolta products in SA, has announced the launch of Equitrac Office (Document Accounting Server) Version 3, an updated edition of the cost recovery system that allows companies to electronically manage and bill for the time and costs associated with document creation.

Minolta`s Integrated Systems Information Exchange (MiSix) division product manager, Jody Harrington, says the new version of Equitrac not only offers accountability for every page printed, copied, faxed or scanned, but gives users secure document release. "Documents will only print at a multifunctional device when users identify themselves at the device with an access card. The system also operates on a first come, first serve basis - the first person to the machine gets his document first.

"The new version also allows users the freedom to collect documents from any device on the network. If one machine is busy, users can collect their documents at any other machine on the network," says Harrington.

Over the past three years, Minolta has established itself as the largest reseller of Equitrac products in SA. Harrington says Equitrac is every accountant`s dream. "Everyone wants to lower overheads, reduce waste and misuse to produce a healthier bottom line. Equitrac allows our clients to do this by breaking document production costs down per user, department, cost centre, project or billing code.

"Another reason for our success with Equitrac is that we offer it as part of our outsourcing solution. We take over the complete management of our clients` output devices by providing them with the equipment, human resources and intellectual property necessary to produce documents to their specific requirements. All the clients do is pay per printed page," says Harrington.

Canadian-based Equitrac product development director Jim Vopni, who was recently in SA to meet with Minolta`s clients, says Minolta`s outsourcing sites compare favourably with some of the largest international sites in terms of technology, innovative implementation and technical expertise.

Harrington says one of Minolta`s largest outsourcing clients, Alexander Forbes, has 1 200 users and prints approximately 1.9 million pages per month. "Equitrac allows us to account for every single page that is printed, copied, faxed and scanned at the company`s site and allows us to provide them with comprehensive reports as to what was printed, where it was printed and at what cost," he says.
