Open Text Introduces Content Archiving for Microsoft SharePoint Products and Technologies

Johannesburg, 12 Aug 2005

Lava Systems Africa, an affinity partner of Canadian-based for Open Text, today unveiled the latter`s content archiving solution for Microsoft(r) SharePoint(tm) Products and Technologies, giving customers a powerful, long-term archive to store documents from SharePoint sites. The solution helps large organisations address the demands and rising costs of preserving huge stores of electronic documents for court cases and compliance mandates.

Robust content archiving software has become critical to global companies as growing legal and regulatory requirements force a change in the way they manage and store electronic information. Regulations today include tough rules for securely maintaining important electronic documents for extended periods. And costly discovery requests in litigation are requiring companies to quickly find and prove the authenticity of documents important to a case many years after the documents were created.

Open Text`s Livelink ECM -- Document Archiving for Microsoft SharePoint is a powerful solution that automatically archives documents from SharePoint Products and Technologies in compliance with specific requirements or industry standards. Users can access archived content as quickly and as easily as before-the archiving process is transparent to users. The solution also scales to meet customers` growing archiving needs, with the ability to manage hundreds of gigabytes and even terabytes of digital content.

"We see the integration of Open Text`s content archiving solution with Microsoft Office systems as an important step towards more consistent support for the document lifecycle within the Reinsurance Group of Munich Re," commented Dr. Werner Schmid, Architect, Office Communication at Munich Re Group, which plans to adopt Open Text`s new solution. Based in Munich, Germany, Munich Re Group is one of the world`s largest reinsurers and the second-largest primary insurer in Germany. About 5,000 insurance companies in some 160 countries rely on Munich Re`s expertise and financial strength.

A key benefit of Open Text`s archiving solution is that customers can use a single, long-term archive as a repository for all content across the enterprise. Documents and information -everything from Word Documents to invoices to e-mails coming from SharePoint Products and Technologies, ERP, CRM, e-mail or other ECM systems -- can be maintained in the Open Text archive. The archive provides secure, long-term storage, full-text search and easy access from native applications. Customers gain a single system for maintaining all information to improve regulatory compliance and to provide a one-stop shop for discovery requests.

"Businesses today find themselves in the crossfire of tough regulations and complex litigation," added Jens Rabe, Director of Compliance Solutions at Open Text. "With all of their content in digital form, better information archiving and storage is a top-line priority. Customers can now enhance their Microsoft SharePoint Products and Technologies with a content archive that delivers all the specialised capabilities they need. Additionally, they can manage content from SharePoint Products and Technologies with all of their corporate information to reduce the costs and complexity of managing electronic information."

Other key features of the Document Archiving for Microsoft SharePoint solution include: * Security, Authenticity: Archive content on a variety of secure storage media; apply time stamps and system signatures to ensure authenticity and accuracy; and auditing capabilities to track activity for each document.

* Rule-based Archiving: Configure storage rules to control what content is archived and to which storage media. Microsoft SharePoint Document Library attributes can be mapped to document attributes in Open Text`s content archive, enabling specific archiving processes to be applied to specific types of documents.
* Comprehensive Search: Simultaneously search across content in SharePoint databases and in the Open Text archive. Consolidated results give users a unified interface and look and feel, separated according to online or archived content.

The Document Archiving for Microsoft SharePoint solution also reduces storage costs by allowing customers to move content from expensive server space in Microsoft SharePoint Products and Technologies to lower-cost storage media. Open Text`s content archive works with all major storage systems, including those from Hitachi Data Systems, StorageTek, Network Appliance, EMC, HP, Sun Microsystems and IBM, giving customers the flexibility to use or migrate to different storage platforms to meet changing needs.

The new archiving solution continues a series of Open Text offerings that tighten integration with leading Microsoft applications. Open Text`s Livelink ECM solutions integrate with Microsoft Office products and Open Text also offers e-mail management solutions for Microsoft Exchange and Outlook users. Open Text`s content archive is offered as part of the Livelink ECM platform introduced earlier this year, and works with all of Open Text`s Livelink ECM solutions.
