DLK Business and Technology Solutions is developing a records management plan for Parliament that will bring the legislative arm of government in line with the National Archives Act.
DLK says the system is due to be implemented by the end of May. Besides storage of documents dating back to 1910, the system will also allow for the identification of documents that can be destroyed in terms of the Act.
All parliamentary records have been kept on the premises since 1910 and stored according to Parliament`s criteria. The new Act obliges Parliament to store records according to specified national standards and implement management procedures for storage, access and disposal of records.
The new filing system being developed by DLK will identify which records are no longer in use and can be terminated and sent to the National Archives, or kept within Parliament because they are still in use.
DLK Business and Technology Solutions executive director Dallas Haynes says the time pressures to deliver the new filing system are challenging.
"There is a tremendous amount of business analysis work being done. Workshops with parliamentary staff are being held to determine their current filing systems, what kinds of records they have and what they require the new filing system to incorporate."
DLK will also deliver a plan of how to implement the new system. This will include change management, training and skills transfer.
