Pastel Payroll launches new HR software solution for medium to larger businesses

Pastel Evolution Payroll and HR software developed by Softline Pastel Payroll for medium to larger sized businesses is not only customisable, but also offers an HR module called Pastel Evolution HR, a software solution focused on streamlining and improving the efficiency of day-to-day human resource management.

“Employees are a company's single biggest asset,” says Softline Pastel Payroll technology director Philip Meyer. “Pastel Evolution HR, which can also be used as a standalone solution remote from the payroll function, offers companies powerful, yet uncomplicated features to assist with HR requirements. It is suitable for any size and type of business and offers management a means of collecting, collating and storing relevant employee information at the click of a mouse.”

The software is full-featured. For example, an asset management facility keeps track of company assets and privileges granted to each individual employee. This includes company vehicle details, parking bay and number, laptop or desktop and serial number, cellphone, 3G or HSDPA cards, credit card, loans and other benefits.

Another facility stores personal details of individual employees, including CV, schooling, and qualifications such as degrees, diplomas and internal company training/course certificates.

A disciplinary record-keeping facility lists and manages proactively company policy breaches or offences such as telephone abuse and consistent late arrival for work, together with details such as the date of offence and hearing documentation, recordings and the findings of any disciplinary action taken, such as suspension with or without pay, verbal warning or written warning.

“Performance management is a critical issue in most businesses today,” adds Meyer. “The Labour Relations Act is complex and must be adhered to in order to ensure the company's actions are lawful and documented at all times. The software structure ensures that the company complies with the HR and employment requirements of the Act and hence safeguards the company against the possibility of legal action by disgruntled employees.”

The Pastel Evolution HR Module offers facilities to record all detail of individual performance reviews, including the manager who conducted the review, the performance scorecard and the individual employee's rating. In addition, any document (audio, video, photograph and the like) can be linked to the applicable employee's disciplinary record and retained as evidence as advised by the Labour Relations Act and CCMA.

The reviews establish strengths and weaknesses and rate the individual as highly competent, competent or incompetent. Recommended actions such as mentoring, additional training, external courses, probation or warnings are also recorded so that a complete individual performance record is maintained and easily retrievable by department head or manager. Managers can enter action reminders and follow-up dates to ensure that all recommendations are followed through and that there is a complete record available for reference in the event of a legal wrangle.

Meyer says a new and innovative inbuilt data-level security model means employee record files can be made as secure as the company desires to ensure that the individual information is available only to the relevant management or cross-functional representative such as the HR Manager of the business.

“Performance reviews based on the established criteria, namely key performance areas (KPAs) and key performance indicators (KPIs) can be printed, scanned and attached to each employee's file. The software allows specific categorisation of all employee data, reports, certifications, disciplinary actions, promotions, in-house training, external training/education, work experience, specialisation, all adding up to a complete record that is quickly and confidentially available to management at any time.”

Meyer closes by saying that while Pastel Evolution HR can be run standalone or as an extension to the Pastel Evolution Payroll Solution, it is also an integral part of the Pastel Evolution ERP Suite. Users can deploy Pastel Evolution HR as a best-of-breed solution in the HR teams and across complex business functions, or as a very logical and seamless extension to the existing Pastel Evolution Payroll offering. Because of the extended security model, it can also be similarly deployed as an extension of the Pastel ERP suite. This allows customers to decide precisely on an appropriate implementation model suitable for their particular business and tailored to the maturity and complexity of their internal HR function. It also allows for logical and incremental deployment of HR disciplines as the needs of the business dictate.
