Quartet Solutions revamps Janssen-Cilag HR systems

SAP services partner, Quartet Solutions, recently completed a SAP HR implementation for Janssen-Cilag.

Janssen-Cilag is a research-based pharmaceutical company, with establishments in 50 countries. The company markets prescription and over-the-counter medicines for a range of conditions in the areas of gastroenterology, fungal infections, women's health, haematology, mental health, neurology and pain relief.

The main goal of this three-month HR SAP project was to provide the company with a comprehensive HR management structure which would integrate with its other SAP applications as well as its standard operating procedures document management system.

The scope of this project included the installation of SAP modules for several key areas in the HR structure of Janssen-Cilag:

The Personnel Administration module was implemented to allow for the capturing of employee's personal data, information about their work relationship and other relevant information. Personnel actions for core HR processes were also set up. These include hiring, organisational reassignment and terminations.

In the Organisational Management module, several business processes were defined. These include the design of the enterprise provisions for organisational planning, the formation of organisational units used in the organisational plan, as well as the listing and management of positions with their defining jobs and relationships to other objects in the system such as cost centres.

For the Personnel Development module, the standard method of recording personnel appraisals without integration in SAP were used, with employee qualifications and job requirements being set up to be loaded on an ongoing basis.

The SAP Training and Events module was implemented to administer and manage the training requirements for external as well as internal training courses. The internal courses range from product specific training to Standard Operating Procedures (SOPs) training. The Training and Events module implementation included business event planning, resource administration, scheduling and follow up processing, as well as business event administration which include registration, replacement, rebooking, cancellation and notification. The business event environment was set up to include various elements such as cost items, time schedules, business event locations, resources, external attendees and organiser types.

Quartet solutions also set up a training catalogue to include the training groups, types and events that will be used by Janssen-Cilag, with qualifications transferred by any course being defined in the qualifications catalogue, enabling a profile match up in Personnel Development.

The SAP Time Management module was also implemented, including work schedules for the two business areas as well as absence and attendance control. This module interfaces directly into the VIP payroll system. The SAP system is now the keeper of all leave records that pass on the leave balances, which are then printed on the payslips as per legal requirements.

The implementation and deployment of the SAP HR modules went ahead smoothly and involved HR integration, maintenance and support. Quartet Solutions also developed customised training material and provided the relevant personnel with classroom-based training to enable them to take full advantage of the system's features and functionality. This implementation will impact 250 staff members with approximately 10 users working on the HR system on an on-going basis.

This project was successfully completed within the time and budget restrictions set in the SLA. Quartet solution has also been tasked with the ongoing support of SAP HR module at Janssen-Cilag.

"The SAP HR and Document Management System have integrated information, which was previously kept on various spreadsheets and legacy system throughout the organisation.
