Optio Software, provider of software solutions that capture, transform and deliver information to allow automated processes, has announced that its strategic partner in South Africa, the SPI Group, has implemented Optio's dynamic output management solution at the Rand Afrikaans University (RAU), providing cost-saving features while adding flexibility and control over its information distribution environment.
Like most tertiary institutions, RAU uses administrative software systems from Integrated Tertiary Software (ITS) to support its student, human resources and financial management functions. Although the ITS solution enabled the university to access consistent, up-to-date information, it still needed to customize the appearance, format and delivery attributes of such information distributed to students, personnel, management and parties outside RAU. Previously, such output was created in character-text format on pre-printed stationery, rendering the distribution of a large variety and high volumes of documents extremely costly and labor-intensive.
"RAU wanted to implement a solution that enabled it to print anything from student registration forms, exam rosters and exam results, to financial statements, invoices and IRP5 forms on plain paper to networked laser printers," Fanus K"uhn, SPI channel manager explained.
To this end, SPI implemented Optio Document Customization Server (OptioDCS), a dynamic rules-based document formatting server that enables automated customization and delivery of printed information with data generated straight from RAU's enterprise application.
"The university now creates professional-looking documents that can be changed on very short notice, while information is transferred faster and more efficiently and in the exact format required," Fanie Heyneke, IT Director for RAU said. "In addition to the tremendous cost and time savings introduced with the elimination of pre-printed stationery, SPI's Optio solution also provides an excellent growth path by enabling RAU to publish rather than print its information in the future."
