Security giant Enforce streamlines sales with GoldMine

The Enforce Security Group, one of SA`s largest providers of commercial and residential security services, has reported dramatic increases in efficiency following its roll-out of GoldMine business contact management software from FrontRange Solutions.

The national security group has adopted the product to give sales and support staff across the country access to information from its back-office systems through a single interface, as well as to automate and streamline paper-based business processes.

Gary Tintinger, marketing manager at Enforce, says: "We started looking for a business contact management solution more than a year ago, and eventually selected GoldMine because the product was positioned and priced at the right level for a medium-sized business. We were also comfortable that the application was open enough to integrate snugly with our back-office systems, and could be easily tailored to fit our business needs."

Enforce appointed Polygon Systems, a Johannesburg-based GoldMine Platinum value-added reseller, as its integration and implementation partner.

Tintinger says Enforce chose Polygon Systems as its partner for the GoldMine roll-out because the company could offer local and national support and had a deep practical understanding of the security industry. Polygon Systems also offered expertise in customising the product and integrating it with back-end systems.

Enforce is using the GoldMine software to generate, capture and store information that was paper-based in the past, including quotes and incidents at customer sites. This has improved data accessibility and accuracy, and also allows the company to analyse historical data to uncover trends. Users at the security company use the GoldMine product to access information from a number of standalone back-office systems, including the accounting, payroll, alarm centre and guard roster applications, through a single interface.

Tintinger says: "One of the key customisations Polygon wrote for us was an electronic quoting system that allows us to generate a quote electronically with a few keystrokes and then fax or e-mail it to the customer."

Enforce`s product has hundreds of different configurations. For example, customers may opt for a 12-hour or 24-hour guard, who may be armed or unarmed, and complement guarding services with a range of other products, such as electronic security, forensic accounting, whistleblower centres and polygraph testing.

For these reasons, Polygon Systems customised GoldMine to support a range of extra data fields in its main interface. Apart from easing the quoting process, this added functionality helps Enforce to cross-sell its products more effectively.

Mark Bannerman, sales director of Polygon Systems, says Polygon is writing an interface between Enforce`s existing software systems and GoldMine, which will allow the security group to have a comprehensive view of customers from within GoldMine.

Joanne Kavanagh, channel manager at FrontRange Solutions, says: "The GoldMine product range is based on a standard Microsoft architecture that is open to integration with a range of back-office systems. Customers can roll the product out and benefit from team-based business contact management without needing to embark on a forklift upgrade of all the systems in the back office."
