Local human resource software specialist company, Absalom Systems, has introduced its Smart.HR Leave Management solution that boasts a revolutionary two-way SMS functionality.
It not only allows employees to apply for leave and request leave balances via SMS, but also enables managers to approve leave via their mobile phones. The SMS functionality was developed for clients in the construction sector, where access to computers is not always possible.
The company's managing director Brendon Gass says Smart.HR Leave Management provides a very efficient solution for managing an organisation's leave. “There are multiple benefits by allowing the employee to capture leave directly online; they can at any time check their current and future leave balances and track the approval of their leave application.”
With a simple easy-to-use interface, employees can apply for leave via the Internet or even via their mobile phones and self-manage their leave without disrupting the HR department. E-mail and SMS notifications keep them up-to-date as to the status of their leave applications, and they can also cancel future dated leave.
At a glance, managers can determine which other employees have applied for leave before approving an employee's leave application. They can also block off periods where employees cannot apply for leave and managers can nominate colleagues to approve leave in their absence. Furthermore, managers can apply for leave on behalf of employees who do not have access to a computer.
“More importantly, the HR department does not have to capture leave forms, thus reducing its administrative workload. Leave forms cannot get lost, current leave balances are always available and staff are warned well in advance to take leave at risk. Not only is half-day leave supported, but as public holidays are configured in the system, leave duration is calculated automatically,” he explains.
Smart.HR Leave Management provides a comprehensive audit trail to ensure no fraudulent leave activity. It offers comprehensive leave statements showing accumulations, balances and adjustments for answering any leave queries.
He says the HR department can make leave adjustments if required and enforce organisational leave rules such as allowing negative leave balances or limiting leave types through the application process. “The leave system is rules-based, which caters for any leave type, accumulation period or leave cycle and allows future leave balances to be immediately available. Examples of complex leave requirements include bonus leave, study leave by examination type or long weekend leave.”
Leave approval workflows can involve multiple roles, if required, to mirror any organisations leave approval process. The value of leave can also be capitalised at the current salary when the leave was earned for an accurate determination of leave liability.
Smart.HR Leave Management offers comprehensive leave reporting and analysis of sick leave, day of leave taken, leave frequency, leave patterns and trends for better absenteeism management and prevention of leave abuse.
“Hanover-Re, Brait and Aon recently implemented the Smart.HR Leave Management solution. Hanover-Re changed from a custom developed workflow application, which had been developed by their IT department, to Smart.HR because of the rich functionality built into Smart.HR,” says Gass.
“Customers are switching from in-house developed leave applications to Smart.HR because of the rich functionality built into Smart.HR. Maintaining an in-house system is extremely inefficient and normally does not stay up-to-date with technological or organisational changes. Furthermore, HR found that they were dependant on IT for a core function. The Absalom team now supports the system and upgrades it to ensure hassle free leave management,” he concludes.
