Spescom launches eB Quality

Spescom Software (Pty) Ltd, the integrated document, configuration and records management (iDCR) operation of multinational Spescom, has announced the launch of eB Quality. eB Quality is a proprietary solution based on Spescom's eB document and change management engine.

According to Spescom Software regional director, sub-Saharan Africa, Jeff Bowyer, eB Quality has been specifically designed to address the needs of the quality and safety sectors.

"There is a myriad of documentation within these sectors that must be effectively managed. The ability to access this data quickly and easily is critical to the success of quality and safety systems. However, the documentation can only yield valuable information if it is in context and current," says Bowyer.

"eB Quality is capable of managing all types of records, regardless of format, while ensuring the integrity of the information remains intact.

"In petrochemical or engineering industries where safety depends on following procedure, eB stores documents, and manages and automates much of the change process. Thus, safety managers and workers always have access to accurate and current information.

"In the quality sector, for example, a call centre environment, where customer service is the focus, eB Quality ensures agents have instant access to all processes and procedures. Agents utilise various applications and procedures to deal with different aspects of customer interactions like sales queries and complaints. Easy access to current processes ensures agents are consistent in their dealings with customers and ultimately leads to better service and more efficient handling of calls."

Bowyer notes that regardless of the industry sector, eB Quality offers users many benefits.

"The solution controls an organisation's documentation by offering features like an audit trail where the lifecycle of a document can be traced and analysed. Once a document has been changed, eB allows users to view the previous versions easily and quickly. There is also security control ensuring that only authorised users can view, access, change and delete information.

"Through the management of document context, eB is capable of performing a change effects analysis to inform users of the potential consequences of amendments in relation to associated procedures, workers, other documents and IT equipment.

"eB automates the change process by keeping information in context and managing the relationships between associated documents. It also offers workflow for the management of non-conformance, customer complaint and document updating processes."

Bowyer concludes eB is unique in its ability to manage and control the documentation. By understanding the context of information, the solution can comprehend and manage the effects of change, thus, maintaining data integrity.
