Staffware, a leader in workflow/business process management (BPM), has been selected together with Tower Technology, a vendor in deployment of high-volume document and content processing solutions, to create and provide an online document management system for the South African Department of Home Affairs. The contract is worth R3.5 million to Staffware in its initial phase.
The new Document Management System (DMS) will be utilised as an online repository of records and documentation, which will also cater for all the planned current and future Document Management, Business Process Management (BPM) and Management Information (MI) requirements of the Department.
Mark Ehmke, managing director at Staffware in SA, highlights: "This system will lay the initial foundation that will be required to meet the future service provision objectives and directions taken by the Department."
"The online Document Management System, together with the document imaging and electronic workflow components, will greatly improve internal efficiencies at the Department, as well as service levels to its most important client, the South African public," adds Leslie Mashokwe, head of communications at the Department of Home Affairs.
"The implementation of the Staffware solution, together with Tower Technology`s document imaging system, will effectively solve the processing needs of one of its main directorates, Civic Services, which processes the registrations of births, marriages and deaths, as well as the processing of citizenship applications," Ehmke continues.
These processes previously existed only on a manual level and the directorate: Civic Services is expecting to benefit greatly in terms of more efficient information sharing and business process continuity which will result from automation.
"The old manual system resulted in registrations and applications being slowed down tremendously due to documentation losses, manual data transfers and the inability to perform simultaneous parallel processing - hence the requirement for an online document management system," concludes Ehmke.
