Xerox Global Services has developed Xerox Office Services (XOS) 4.2, an enhanced suite of software tools that manage multiple printers and multifunction systems in an office network, in order to maximise office productivity.
The new device management software provides customers with a roadmap of their entire print network, allowing them to know in real-time how to keep their offices performing at peak efficiency. They also help to lower the total cost of ownership for customers' document technology and provide highly measurable results.
"This software combines Xerox's document management expertise and its office consulting services to give customers significant advantage in the race to cut costs and improve productivity," says Rob Abraham, MD of Bytes Document Solutions, sole authorised distributor of Xerox products and solutions to 24 sub-Saharan countries.
A key feature of XOS 4.2 is print infrastructure mining (PIM) data analysis technology. PIM provides a dynamic graphical map of a customer's entire print network. It enables XOS technical advisors to provide remote advanced diagnostics and troubleshooting, putting printers and multifunction devices back into operation quickly.
PIM tracks details of print jobs, such as the number of pages being printed, what devices are printing the most pages and the complexity of the printing, such as black-and-white or colour, to help companies and workgroups better manage their print infrastructure.
For example, PIM can identify when significant increases in print volume occur and determine which users or groups are generating the majority of the volume. If the volume continues to increase over time, the company can add a more efficient printer or multifunction device to meet the printing needs and move the existing device to an area that generates a lower print volume.
"As opposed to manually gathering historic data, this type of analysis helps reduce the total cost of ownership because adjustments can be made based on current information and the relationship between document devices and users," says Abraham.
