Xerox eases document management for small to medium business

Businesses of all sizes are experiencing information overload through a barrage of papers, e-mails, electronic documents, and other content circulated daily.

Cutting through the clutter can be a time-consuming and expensive task for small and medium-sized businesses (SMBs).

DocuShare Express, Xerox's content management software, has been tailored for the SMB market to help manage business-critical documents affordably.

“Smaller businesses can find it tough to avoid the black hole of information overload,” says Grant Long, software product manager, Xerox Global Services at Bytes Document Solutions. The business is the authorised distributor of Xerox products and solutions to 24 African countries.

DocuShare Express is an electronic filing system that provides easy storage, retrieval and sharing of information. Its Web-based folders can accommodate paper and digital content ranging from scanned documents, spreadsheets and Word documents to e-mails, blogs and wikis.

It also includes a quick install process that rapidly uploads the program and requires little technical knowledge to install.

Keeping track of paper and digital information can be difficult in a small business setting where administrative resources are limited.

“For example, in a doctor's office, regulatory materials, pharmacy procedures and training manuals must be updated frequently and can be costly to print, store and keep organised. DocuShare Express allows employees to review materials online, anytime - fostering communication and collaboration without straining the budget.”

DocuShare Express also includes a time-saving imaging and scanning feature, which enables documents to be uploaded to specific DocuShare folders using special scan cover sheets. Easy upgrades to DocuShare or DocuShare CPX allow SMBs to add more advanced content management capabilities as necessary.

Additional efficiencies

Xerox has also added advanced scanning features to its entire DocuShare content management platform through an Extensible Interface Platform (EIP) connector. By simply touching the screen of an EIP-enabled Xerox multifunction device, users can scan documents directly into DocuShare folders.

The EIP connector, an intuitive one-step scan solution, offers greater efficiencies and environmental gains, since paper files can be viewed, shared and searched online without further duplication or distribution.
