Techinikon Witwatersrand streamlines business systems with e.COMPRESENT

Technikon Witwatersrand has purchased e.COMPRESENT Version 2 by Optio and distributed by the SPI Group (SPI) to streamline its existing business processes and operate in conjunction with its existing products and technology.

e.COMPRESENT is a second generation Internet/intranet delivery system that provides secure Internet business document presentations. It is a business document repository and allows a company to create a paperless report distribution environment, especially for vendors and suppliers as well as employee expense reimbursement in terms of electronic payments. The package notifies each vendor or employee when a new payment is made to them. The actual statement detailing the payment is then accessed securely via the Internet using a Web browser from anywhere.

Pearl Tuling, Systems Administrator for the technikon's IT department, says e.COMPRESENT is exactly what they were looking for.

With e.COMPRESENT, the technikon has been able to cut down on the number of queries - both e-mailed and telephonic. "e.COMPRESENT allows our staff to see the actual document - be it a cheque, statement or requisition - on the intranet."

"e.COMPRESENT provides a realistic method of secure Internet document presentation that is easy to use as the customer or supplier only needs an Internet connection and Web browser," says Chris Anderson, managing director of SPI.

This has proven to be a great benefit, as Tuling explains: "Much of our ordering is specialised. Previously a notification that your order had been placed was sent out. Now with e.COMPRESENT the actual order can be viewed by all the concerned parties. It has cut down on queries and incorrect orders simultaneously."

Tuling also says that from a technical point of view, the implementation was quick and easy. "Once you know you know what you want, the system's flexibility can be used to great advantage."

Other uses include immediate notification of a report or other document now available via e.COMPRESENT as well as emergency notices to remote employees in a more secure manner than voicemail or e-mail.

The benefits of e.COMPRESENT include no more lost or illegible invoices or sales orders, etc. The system is cost-effective in that it eliminates the need for postage, courier or fax transmissions. Most importantly, in today's world, it helps customers or suppliers save time, as the document is easily retrievable and there is no need to recreate it.

Anderson says the company is very pleased to have secured the exclusive distribution rights for e.COMPRESENT. "As agents for a number of Optio's products it was a natural that we distribute this product for them locally.

"It is a product of Optio's experience and a logical evolution for Optio to create an additional set of delivery options for documents created by Optio's document/data transformation engines," says Anderson.

SPI has been the representative for a many Optio products in southern Africa for a number of years.

e.COMPRESENT can run on Microsoft or Unix servers and multiple security options can be leveraged concurrently.
