IT solutions company, Strato IT Group has introduced a mobile app which digitises the manual paper processing of documentation during the delivery of goods.
The Strato pod is a business-to-business mobile application used mostly by logistic companies to digitally document delivery information. It seeks to replace the manual processes and tasks associated with paper workflows, such as manually capturing data and written delivery notes during the delivery of goods by the supplier, says Strato IT group.
This allows organisations to accurately and efficiently capture and electronically document information relating to deliveries at customer sites, according to the company.
Cassie Lessing, MD of Strato IT Group, says the system is ideal for logistic companies, as they often receive complaints when there is something wrong with the delivered goods. This, he adds, often results in delayed payment from dissatisfied clients or due to paperwork that wasn't accurately recorded.
"In the logistics process typically businesses have a delivery book or document which travels with the delivery vehicle. Upon delivery, the customer would sign an acknowledgement of receipt of delivery or add feedback notes detailing the condition of received goods.
"With the Strato pod, the entire process is digitised, using a mobile phone or a tablet. The supplier receives an immediate e-mail notification of the customer's acknowledgement of receipt, and any captured information is updated on the system in the office. The application streamlines the business process and eliminates the inconvenience of using paper documents," notes Lessing.
The driver can also capture photographic evidence of the delivered goods. In a situation where the client is not happy with the delivery; a picture can be taken via mobile phone or tablet camera. This eliminates any miscommunication between the customer and the supplier, he adds.
"It's not downloadable via an app store, we upload the application onto the mobile phone or tablet. The system is managed from a cloud server environment, all the information is kept on a cloud and interfaced into the company's ERP system.
"There is no need to recapture any information once the customer has signed. It is also integrated with an invoicing system and credit notes for short deliveries. The application is portable over multiple mobile devices and is architected to operate independently or to be integrated with most recognised business technologies," he concludes.
